One-off and scheduled emails

Email one person from your Gmail now or at a set time, and log the touches that happened elsewhere.

Email one person

From a contact's panel, or from the Email page, write a subject and body, pick the Gmail to send from and a signature, and click Send email. The email goes out from your Gmail, shows in its Sent folder, and is recorded in the person's activity with its opens and clicks.

  • The person is the only recipient; you can add CC addresses.
  • Merge tags are filled only inside the signature. The body is sent as you typed it.
  • Addresses on the do-not-email list are refused. Someone marked Replied, Unsubscribed, Bounced, Converted or Dead is refused too, unless you tick Send anyway.
  • The email carries the unsubscribe line and one-click header unless you untick Unsubscribe link. The default is in Settings → Workspace; see Unsubscribes.
  • Emailing someone moves them to Contacted if they were New.

Schedule for later

Choose Schedule instead of Send email. Pick a date and time in your time zone, or one of the quick options (In 1 hour, Tomorrow 9:00, Monday 9:00), then Schedule send. The email is checked right away (recipient, do-not-email list, subject, sender, signature) and sent within about a minute of its time, from the Gmail you chose, as you.

Email → Scheduled lists what's waiting, what was sent and anything that failed. Open one to view it, change its time, send now or cancel.

  • If the Gmail has used up its day when the time comes, the email waits for room and is sent then.
  • If you leave the workspace before it's sent, it fails rather than sending as you.
  • Up to 1,000 scheduled emails waiting per workspace, up to a year ahead.

The API and AI assistants can schedule emails too (sendAt), and manage the ones they scheduled.

Log a touch that happened elsewhere

A call, a LinkedIn message, a WhatsApp, an SMS, a meeting: log it from the contact's Email tab with Log. Pick the channel, a date and a note. It joins the activity timeline and counts as contact (the company's "last contacted" updates). Logged touches can be edited or removed later; emails Pedibee sent can't have their content changed.
