How Pedibee is organised
The handful of things everything else is built on: companies, contacts, stages, lists, and the outreach history.
Pedibee has a small, deliberate model. Once it clicks, every page in the product reads the same way.
Workspace
├── Companies (a business you sell to)
│ └── Contacts (the people there)
├── Contacts with no company
├── Lists (hand-picked groups of contacts)
└── everything you send: outreach touches, campaigns, sequences, automationsWorkspace
A workspace is one product or company you sell, with its companies, contacts, campaigns, Gmail accounts and settings. You can belong to several and switch between them from the profile menu. Whoever creates a workspace is its owner; they invite managers and members. See Team & roles.
Companies and contacts
A company is a business you sell to: a name, a website, an industry, a size, tags, a tier and an owner on your team. A contact is a person, usually at a company, sometimes on their own. Each contact has one email address, which is unique in the workspace.
A company is always added with at least one person, and the company list shows what its people did: how many were emailed, opened, clicked and replied, and when anyone was last contacted. None of that is typed in. It's worked out from the outreach history every time you look.
Stages
Every contact has a stage: New, Contacted, Replied, Converted, Dead, Bounced or Unsubscribed.
- Pedibee moves a contact forward by itself: emailing them makes them
Contacted; recording a reply makes themReplied. Converted(won),Dead(lost) andBouncedare only ever set by hand.Unsubscribedis set by the person when they use the unsubscribe link, or by you; either way their address goes on the do-not-email list.- Opens and clicks never change a stage. They're activity on the email, not a judgement about the person.
A company's status is its people's stages rolled up: anyone emailed makes it Contacted, anyone replying makes it Replied, and a stage you set by hand on the company (Won, Lost…) always wins.
Stages matter for sending: campaigns and sequences skip people who replied, converted, died, bounced or unsubscribed, unless you say otherwise. See Who gets skipped.
Lists
A list is a named, hand-picked group of contacts, like "Webinar attendees" or "Q4 targets". Contacts can be in many lists, and deleting a list never deletes the people. Lists are the audience for campaigns and sequences, and automations can add people to them.
The outreach history
Every touch with a contact is one entry in their outreach history: an email Pedibee sent, or a call, LinkedIn message, WhatsApp, SMS or meeting you logged by hand. Each entry is numbered and dated, and an email's opens and clicks hang off it.
Everything that looks like a statistic (a campaign's open rate, a company's "last contacted", the dashboard) is counted from this history. Nothing is stored twice, so the numbers always agree.
What sends email
Three things send email from your Gmail, all through the same rules (do-not-email list, daily limits, tracking):
| What it is | When to use it | |
|---|---|---|
| One-off email | One email to one person, now or scheduled | A reply, a follow-up, an introduction |
| Campaign | One email to many people, personalised, sent one at a time | A launch, an announcement, a cold outreach wave |
| Sequence | Several emails over days, per person | A follow-up series that stops when they reply |
Automations send emails too, triggered by something that happened in your product, like a sign-up or a failed payment.
Where to look for what
- Dashboard: the numbers for the last 30 days, the engagement funnel, your most engaged companies, follow-ups due.
- Companies and Contacts: the records, with each person's activity timeline.
- Lists, Templates, Campaigns, Sequences, Automations, Email (one-off and scheduled), Warm-up.
- Settings: your account, the workspace, Gmail accounts, email tracking, email verification, team, API keys, connected apps.
